HR digitalization is the process of changing operational HR processes to become automated and data-driven. So rather than the digital transformation of HR only about HR, it is a transformation that should involve the organization as a whole to be truly successful.

What is digital HR?

HR digitalization is the process of changing operational HR processes to become automated and data-driven. So rather than the digital transformation of HR only about HR, it is a transformation that should involve the organization as a whole to be truly successful.

And today, the vast majority of businesses have an HR department that is more or less digitalized. By digitalizing different HR processes, everything related to the company’s employees becomes more structured and more efficient – something that benefits the HR staff, management, and the employees themselves.

Knowing how different processes work contributes to less administrative work, at the same time as the HR staff has more time to support employees to develop successfully in their roles. For the management, it contributes to a better basis for being able to make informed decisions.

Reflections from an HR expert

A cloud-based and scalable program saves all important information in one place. And adequate information about employment, salaries, overtime, absenteeism, skills needs, development, and education is gathered in one place. By using a digital platform, it will be easier to review needs, make value-based decisions and create better forecasts for the future.

Why digital HR?

All HR transformation, whether digital or not, needs to be done with a clear goal. It needs, as they say, to be commercially meaningful. And digitalizing certain HR processes just for the sake of it is never a good idea. This leads to the implementation of expensive technology that often does not meet the actual needs of the business. And unfortunately, it may completely defy the benefits of HR digitalization. But what are the benefits of digital HR? Below we list some of the benefits:

  • Through dynamic reports, it is easy to get an overview of data – and to dive deep, twist, and turn it
  • Visualizations that are neat and clear make it both easy and accessible to analyze data
  • HR staff can focus on value-creating tasks instead of time-consuming routine tasks
  • By digitalizing HR, it simply becomes easier to analyze and obtain valuable insights for your company which can then be transformed into adequate action measures.

How do we digitalize our HR? – from idea to implementation in four steps

  1. The first step is to get everyone involved. To succeed with HR digitalization, it is important that everyone has a consensus – from management and managers to continuously updating employees about what is happening and what it means. And of course, it is important to have a good collaboration between IT and HR before successful digitalization.
  2. The second step is to review what it is you want to get out of digitalizing your HR processes. What do you want to spend less time on, and what do you wish you had more time to do? From being able to put more focus on employees’ skills development to setting up systems that efficiently and seamlessly help you through the entire recruitment process – from preboarding, and onboarding to offboarding. Here it is important to dream both big and small.
  3. In the third step, you focus on searching for the software that suits your needs. Dare to be critical; do you really need all the flashy features right from the start? A tip along the way is to make sure that it is a scalable program, which can be adapted to which functions you as a user need access to.
  4. Last but not least, the last step: is the implementation itself. To support the staff who will use the new software, make sure to calmly train in the program, so that the possibilities become clear, rather than that the system implementation involves an uncertainty that often comes with having to learn something new. Digital HR should be both fun and value-creating.

Digitalizing HR has a number of benefits. By implementing a cloud-based HR solution, you get useful and well-functioning support for your HR processes. Your business benefits by replacing the previously so time-consuming HR processes with digital support that provides access to value-generating business intelligence, so that the HR department can spend time on various developing efforts for employee engagement and employee satisfaction. Not bad for being HR digitalization, right?
